Rescheduled, Canceled, Missed, or Suspended Appointments

Canceled, Rescheduled, Missed Appointment or a Series Placed on Hold

Appointments are prepaid.

Cancel an Appointment: Appointments may be canceled by the Client up to 24-hours prior to the set appointment time. If this is so, the appointment is eligible for rescheduling, see “Reschedule an Appointment” below. If the appointment is canceled by the Client later than 24-hours in advance, it counts as a missed appointment, see “Missed Appointments” below. 

In the (it has never happened event that) the Coach cancels an appointment, all fees paid by the Client remain usable and redeemable and the appointment will be rescheduled by the Coach within 24-hours or may be rescheduled by the Client any time in the upcoming 120-days.

Reschedule an Appointment: Rescheduling an appointment is accomplished by the Client sending an email notice to the Coach up to 24-hours before the appointment. The Client then has 30-days to schedule the replacement appointment.

However, if after 30-days no replacement session is used or scheduled:

  • For single one or two-hour sessions or group sessions after 30-days without using, rescheduling or scheduling a replacement appointment for continued coaching sessions a new appointment must be made and a new fee must be remitted. The original appointment and fee is forfeited. – You’re starting over.
  • If a series, after 30-days without using, rescheduling or scheduling a replacement appointment the session-hour is deducted from the total series hours, and the remainder of the series is viable and usable for up to an additional 30-days.
    • After a total of 60-days, if no additional sessions in the series have been used, rescheduled or scheduled, the remainder of the series is void, the fee is forfeited and non-refundable. – You lost your series.

Missed Appointments: If the Client misses an appointment and the client communicates with the Coach and the appointment is rescheduled within 24-hours from the missed appointment, 50% of the original appointment fee will be applied towards the Client’s new replacement appointment.

The Client must make up the other 50% of the fee in a new fee remittance to validate the new appointment.

In other words, if you miss an appointment without 24-hours notice you have instead 24-hours to add another 50% of your session fee to what you’ve already paid, and to schedule a new appointment – or you forfeit the original fee and the option of rescheduling. – You have to start all over.

  • After 24-hours of the missed appointment, if this was a one-hour or two-hour single session, the fee and appointment are forfeited. In order to continue coaching sessions a new appointment is required, and a new fee must be remitted.
  • After 24-hours of the missed appointment within a pre-paid series, that session is forfeited from the series. The remaining coaching hours in the series stand under condition as follows:
    • After 30-days, if a continuing appointment drawn against the pre-paid series hours has not been used or scheduled, the remainder of the series is forfeited and non-refundable. 
  • If this was a missed group session, the fee is forfeited and in order to continue sessions a new group appointment is required, and a new fee must be remitted.

Client Series On Hold

The Client may request that a session series be placed on hold. With express agreement between the Client and the Coach, a pre-paid series of coaching sessions can be suspended for a period of six-months and preserved for future use after they’re initiated. 

Firm Policy On Under The Influence

Sessions will be terminated and no refund is due if a client indicates signs of being inebriated or intoxicated or under the influence during a session. this could also cancel a patient as a continuing client. There is no effective coaching possible while intoxicated.
